Hot Folder is a cross-platform desktop application. It is an add-on that helps the user to download the product design images or other details of the order by the end-user. It’s easy to create a special folder for store owners on their systems based on the destination folder of their choice. Once you configure the add-on it automatically downloads new product design images from your e-store.
Condition
It’s mandatory to enable the PrintXpand tool in your store so the customers can customize products as per their requirements.
For using the Hot Folder, it’s necessary to enable product designing with the PrintXpand Designer tool only.
To run the Hot Folder add-on or synchronize it in your e-store, internet connection with high bandwidth is a must.
Authentication
You can log in to your Hot Folder account by entering some information.
Provide the following information, to login to your account.
Store URL: Enter the URL of your e-store.
Username: Enter the Username of your Store Admin Panel.
Password: Enter the Password of your Store Admin Panel.
Configurations
After the successful authentication, you will be redirected to the “Hot Folder Configuration Module”.
From here you can manage fields.
Store Order By: Select the option to set the file structure in your system after you download files from the e-store. The store order can be in two ways.
Date Wise: Store the orders as per the order dates.
Otherwise: Store the order as per order number.
File Types: Choose the type of file in which you want to download the order files from CSV | txt | Xls | XML.
Data Retrieval Interval: Select the time interval to fetch and check the new orders from your store. You can select from 15 minutes | 30 minutes | 45 minutes | 1 day.
Other Status: Choose the order status to download the files related to the status of the order from your e-store.
Note: By default, you would have a “Pending” order status selected.
Destination folder: Select the folder in which you want to download all files from the e-store to a specific folder of your system.
Click on the “Save and Proceed” button to save the changes. It will start downloading the files as per your configurations. And you will redirect to “Record Listing Page”.
Navigating back to the “Hot Folder Configuration Module”, you will find a “Many Files” button to access “Record Listing Page” again.
Record Listing
Once you fetch your file from the store backend, you can view a list of available files in the tables as per previous configurations. The table will have the following order details.
Order Number: Unique number assigned to the order.
Order Date: The date of which order was created.
File Name: The name of the file by which it will be downloaded.
Destination Path: The destination path on which the order file will be saved.
Type: The file format in which the order configurations file is downloaded.
Status:
~Pending: To download pending files.
~Downloaded: To download downloaded files.
~Failed: To download failed files.
Action: Following points consist of this column.
~N/a: It’s for order files that are yet to download and have under “Pending” status.
~Retry: It’s for the older files which have failed to download with failed status.
~View: It’s for the downloaded files with the downloaded status.
To clear the record, select the record and click the “Clear Log” button.
You can apply the “Retry” action for the “Failed” record. Select records you want to download and apply “Retry All”.
The timer at the top indicates the remaining time to check and download the new record from the store.
To manually check and fetch orders you can use the button next to the timer.
Click on “Configuration” to navigate back to the Configuration Module.
Filters
You can filter the records from the “Filter” section as per your convenience.
Status: Select the status to filter the record from the “Status” dropdown list. To apply the filter click on the “Search” button.
Start Date and End Date: Select the initial date from “Start Date” and the interval date from “End Date” to find the records between these dates. Click on the “Search” button to apply the filter.
Reset: To reset the applied filter click on “Reset”.
Click on the “LogOut” button, to log out from the Hot Folder. It will clear all the records and configurations from the hot folder. Downloaded files will not be deleted.
